Hello Everybody,
this article is all about how to improve your odds while sending any Newsletter or Email Marketing Campaigns to prevent your emails from being trapped in the junk folders of the receivers and consequently improving your Read Rate / Conversion Rate per campaign.

First of all lets Talk about what is the Junk folders and junk filters and how they work :
One of the largest problems facing email marketers using any Email delivery system is making sure that your email goes to the user's inbox instead of going to junk folder. When everything is driven by whether a user opens an email, that means that the user needs to actually SEE the email first. In truth, how many of us check our junk or spam folders regularly? Please note that it is a scientific fact that nobody on earth can guarantee that his emails will be delivered to inbox instead of junk with success rate over 80 - 85 % , in fact most studies show that the most successful industry standard in delivery is around 71% assuming that emails addresses are 100% Correct.

Generally speaking, spam filters are the one responsible to decide whether your email box will go to Inbox or to Junk folder, usually such filters look at a long list of criteria to judge whether or not your email is junk. For example, they might look for spam phrases like "Try Now" , "Best Offer" , "CLICK HERE!" or "FREE! BUY NOW!". They'll assign points each time they see one of those phrases. Certain criteria get more points than others.

For Example, Here's a sample of criteria from Spam Assassin, one of the most popular spam filters out there:
Talks about lots of money (.193 points)
Describes some sort of breakthrough (.232 points)
Looks like mortgage pitch (.297 points)
Contains urgent matter (.288 points)
Money back guarantee (2.051 points)
Why Pay More? (1.249 points)

If your campaign's total "spam score" exceeds a certain threshold, your email is sent to the junk folder. You're probably going to ask "what's the threshold I need to stay under?" Sorry, but the threshold is different for every server. It's determined by the person who installed the spam filter software. If the person is really sick of spam, they'll set the threshold extremely low. Just about anything will get spam filtered then.

Oh yeah, that list of "spammy" criteria? It's constantly growing and adapting, because spam filters "learn" what junk looks like, every time someone clicks the "This is spam" button in their email program. Spam filters even sync-up with each other online, to share what they've learned. See why there's no magic bullet?

So the best way of bypassing Spam filters is simply not to Spam !!!! , The Question here is how to do that , we have compiled here some tips about how you should do things in your campaign to avoid getting Caught as Spam.

Do not use Emails from lists you purchased from unknown source or found free on the internet, do not even attempt to send emails to anonymous emails list, if you are a business you should work on extracting emails from business cards, Directories, guides and then use them in your communication. We know this is hard but believe us , it will work.

Avoid falling in such Typical Spam Mistakes , such as the below:

• Using spammy phrases, like "Click here!" or "Once in a lifetime opportunity!"
• Going crazy with exclamation points!!!!!!
• USING ALL CAPS, WHICH IS LIKE YELLING IN EMAIL (especially in the subject)
• Coloring their fonts bright red, or green
• Coding sloppy HTML (usually from converting a Microsoft Word file to HTML)
• Creating an HTML email that's nothing but one big image, with little or no text (since spam filters can't read images, they assume you're a spammer that's trying to trick 'em).
• Using the word "Test" in the subject line (agencies run into this all the time, when sending drafts to clients for approval)
• Sending a test to multiple recipients within the same company (that company's email firewall can only assume it's a spam attack)
• Designing HTML email in Microsoft Word, and exporting the code to HTML (that code is sloppy, and spam filters hate it)

Get on the White Lists : Hotmail and Yahoo! both keep lists of approved senders. Once you're on that list, that means you'll almost always go into the inbox. If you send a particularly spammy email, however, you can be removed from the list. The process can be frustrating and take a long time, but it's well worth it.

Spam filters at most email providers look to see how many messages you're sending at a time. If you're sending to a large list, even if you have a fast and efficient email sending server, have the server "drip" the messages out slowly. You really don't want more than a couple thousand to hit any one email provider per hour if you're playing it safely. and This is exactly what is Softex Marketing Newsletter is designed to Do.

There are many reasons to break large email lists down into smaller ones, but the best reason is that doing so will mean that the spam complaints that you receive when you send your email won't be in one huge mass. It is inevitable that even loyal subscribers sometimes mark you as spam. If you send your large list in smaller segments, the email provider (Hotmail, MSN, etc.) will see less spam complaints bundled together at one time.

Nobody likes it when somebody unsubscribes from their email list. However, providing a clear way to unsubscribe (and then honoring that unsub quickly) means that users are less likely to get frustrated and just mark you as spam. The number one criterion for ending up in the junk box is the number of spam complaints that you receive, so avoiding them at all costs is critical. Once a user has added you to his or her contact list, friend list or address book, you will always end up in their inbox. Use every opportunity to encourage those on your email list to add you as a contact.

Before you send your entire email list the message you've worked so hard on, send a test message to each of the big email providers (Hotmail, Yahoo, MSN, Gmail, AOL and one generic office address that is viewed in an Outlook client). Send the test email using the exact same server and information that you'll use with your main list. If the test ends up with most of your emails going to junk folder, then it means you'll end up in the junk box on your main send also. Stay away from words you'd see in spam: Viagra, drugs, porn, guaranteed winner.

Do not use image as the first line of your Message, always include text before images.
